Doctor Group Expands on the Cloud

Managing dozens of doctors in several locations with multiple specialties doesn’t have to be as difficult as it sounds. With the right tools, anything is possible.

South Florida Medicine (SFM) started as a single-specialty radiation oncology practice but quickly expanded and increased its offerings. The growing pains associated with this expansion were quickly evident to SFM’s CEO Ravi Patel.

Fast Facts
South Florida Medicine
Profile: 7 locations, 30 doctors, 50+ staff members, 138,821 patients
Challenges: Connecting multiple locations and specialties, lack of multi-level reporting, rapid growth requiring flexibility
Solutions: CareCloud Central and Concierge
Results: Comprehensive business analytics, flexible and intuitive software, improved efficiency, decreased costs

Ravi knew he needed a practice management system that was scalable for his rapidly growing company, as well as flexible enough to cover specialties ranging from urology to oncology.

After an extensive search, Ravi found the ideal practice management solution for his multi-provider network: CareCloud Central. The flexible web-based software was a perfect fit because it had all the tools he needed to manage his business in a cost-effective, easy-to-implement package.

“Ultimately, what set CareCloud apart was the vision of software-based practice management and revenue cycle management all in one,” says Ravi. “And the ability to report individually for each practice, as well as getting a bird’s eye view of the entire group.”

Implementation Made Easy
South Florida Medicine has been so successful with the software that it’s already implemented CareCloud Central or Concierge at 7 locations. Ravi plans to add 10 more practices to the system in the next year – a nearly impossible and extremely expensive task with complicated client-based servers.

“With CareCloud, we get enterprise software capabilities in a very easy to use package,” says Ravi. “We get the full practice management capabilities at a decreased cost – CareCloud makes it really simple.”

Instead of outrageous capital outlay for servers, hardware and software licenses at each location, SFM was able to implement CareCloud at a fraction of the cost with a cloud-based system.

Implementation was a breeze, so Ravi cut costs and improved efficiency across the board in a very short period of time, and with minimal risk. However, he still had to train his large staff.

Training Day
While traditional hardware and software systems take extensive training, the SFM team was up to speed in no time – keeping the practices running smoothly.

Most of the staff was trained in a week or less while whey worked in the system, according to Ravi, but he saw staff members who were a little more computer savvy learning the system in a day or two. One practice even participated in a quick off-site training session to accelerate the learning curve.

“It was really a wonderful use of their time,” says Ravi. “CareCloud’s staff has really stepped up to on-board our practices quickly.”

With so many practices to manage, an expedited training program was essential to maintain operations and quickly improve productivity.

“Carecloud is much more intuitive than other systems I’ve seen, it’s easy to get practices up and running quickly – and from anywhere,” says Ravi.

He loves the fact that he can access information from home, the office or any of his practices. The accessibility and flexibility also make it easy for his staff to log in and learn the system from anywhere.

With 30 doctors and more than 50 staff members trained on the system already, Ravi is confident it won’t be a problem to add 15 more doctors in a hurry. The more of his practices Ravi gets on the CareCloud system, the better his visibility into the overall business.

Better Business Analytics
“I look at everything from a reporting perspective — individual practices or the parent company database — to see collections, trends, how money is split up and overlaying seasonality patterns,” says Ravi. “It allows me to see how we utilize resources to improve efficiency.”

Running multiple practices can be difficult, but Ravi is able to keep everything organized with CareCloud’s best-in-class analytics and business intelligence tools. He can take a high-level view of the business or break it down by practice to see exactly where SFM can improve operations.

“Subsidiaries are treated as individual practices, but are also rolled into the parent company,” says Ravi. “Other software can do that, but not as cleanly and seamlessly as CareCloud.”

Every day is getting better for SFM with tools that allow Ravi to manage his business in both central and decentralized ways. Each practice is able to track its own internal data, but Ravi can still examine all the practices as a whole.

“From a business perspective, the analytics are amazing,” says Ravi. “The reporting is where CareCloud really shines for me.”

Ravi has taken the headache out of managing information and finally has the ability to look at his practices from multiple angles, so he can make the best decisions for his business.

“It’s an amazing way for me to look at my data,” says Ravi. “The flexibility to save, schedule and rerun reports is just fantastic – I’m really happy with it.”
