3 Steps to Simplify Switching Practice Management Software

Want to help your medical group make a smooth transition to a new practice management system? Start with a few tips from a medical group that has ‘been there, done that’ – and save yourself some time.

Alexandra Archibald, MBA, CMPE, Administrator for Somerset Orthopedic Associates in Bridgewater, N.J., guided her seven-surgeon orthopedic group to cloud-based practice management software. She recently shared her story in an on-demand webinar and case study.

Based on Alexandra’s experience, tips to ease the transition include:

1. Choose a User-Friendly System

User experience is essential, and not just after a medical group moves to modern practice management software. The look and feel of the new system can help convince your staff you made the best choice and get their help to champion a smooth transition.

“Many times we heard ‘it looks like Facebook,
 it feels like Facebook, it’s visual like Facebook.’ It made it very easy to teach the staff,” Alexandra said in the on-demand webinar. “It’s very visual, so it’s easy for people to pick up. The action buttons are green and the screens are not overly complicated.”

2. Demonstrate the Best Features

Generate enthusiasm from physicians and staff by demonstrating features they’re each likely to say will improve or solve their workflow struggles.

The orthopedic surgeons at Alexandra’s group initially “were a bit resistant to go on to the cloud. When they realized they could walk around with an iPad and have the x-rays and CareCloud all in the same place … then we started to see the shift,” she said. “They are now very happy that we switched to a cloud-based system.” In addition, gaining 24/7 access to their practice went a long way to securing buy-in from the physicians.

You can also show front desk personnel how to easily check-in a patient and assign them to exam rooms using modern software — or demonstrate features to your financial support staff that can speed billing or more effectively track claims for your medical group.

3. Select a Vendor Likely to Deliver Great Customer Support

You’re going to want great customer support before, during and after the switch. When you’re close to selecting the right vendor, get to know their customer support before you commit. What hours are they available? Are they based in the U.S.? Do they have a reputation for great support? Does your instinct tell you they’ll continue to help after you transition to their new practice management system?
